Getting Started

What do I need to sign up?

Just a property address and, if you want automatic bank syncing, your online banking login. Add a property, connect a bank or start uploading receipts, and Casey takes it from there.

How does FourCasa work, in three steps?
  1. Add your property — enter the address, and FourCasa pulls in public details like year built, property type, and square footage automatically.
  2. Connect a bank or upload documents — link your bank for automatic transaction import, or upload receipts, invoices, and statements with no setup required.
  3. Get instant insights — Casey categorizes everything, and your dashboard, cash flow, and tax-ready reports update in real time.
What property types can I manage?

Single-family homes, multi-family units (duplexes, triplexes, apartment buildings), condos, townhouses, and other rental units including co-living and shared spaces.

I sold a property — what do I do?
  1. Mark it as sold from the property page instead of deleting it.
  2. It moves into your "sold" list but stays fully visible in your records.
  3. You can still add transactions and documents to it for up to a year afterward, so any closing costs stay on the books.
What happens if I remove a property instead of marking it sold?

Removing a property is permanent — it deletes all transactions and documents tied to that property, and this can't be undone. If there's any chance you'll need those records later, mark it sold instead.

How do I group properties by city, area, or entity?
  1. Go to the Groups section in the navigation bar.
  2. Click + to create a new group.
  3. Add the properties you want in it and save.

Useful if you hold properties under different LLCs or want to report on a city or neighborhood as a unit.

Can I bring over my records from AppFolio, Buildium, or another property manager?

Yes. Export your existing statements and send them to us:

  • AppFolio: Reports → Owner Statements, pick your date range, download as PDF or CSV.
  • Buildium: Rental Owner Statements, select the period, download.
  • Rentec Direct: Reports/Statements, pick the property and range, download.

Do I need to be good with spreadsheets or accounting software?

No. If you can use a banking app, you can use FourCasa — that's the point of it.

Can I add receipts by forwarding an email instead of uploading them?

Yes — forward a receipt or invoice to your FourCasa email address and it's processed exactly like an upload.

Can I use FourCasa as my only bookkeeping system?

Yes — it's built to be the financial system of record for rental property owners: organizing transactions, tracking property finances, generating reports, and keeping records ready to hand to a CPA.

What are the plans, and what do they cost?
  • Advanced — $19.99/mo (or less billed annually): up to 20 rental units, automated bookkeeping, unlimited document uploads and bank connections, 24/7 monitoring, CPA-ready reports, priority support.
  • Pro — starting at $99.99/mo: unlimited units, specialist-backed automation, custom analytics, concierge onboarding. Final pricing is customized to your portfolio.
Is there a free trial, and do I need a credit card?

14 days, full access, no credit card required. You only add payment details if you decide to continue after the trial.

How does this compare to hiring a bookkeeper or CPA?

A real-estate bookkeeper typically runs $1,200–$6,000 a year. FourCasa's Advanced plan is about $240/year for the categorization, reconciliation, and tax-ready reports that make up most of that bill.

Can I cancel anytime?

Yes — one click, no fees, no phone call required.

If I cancel, what happens to my books, and can I get everything out?

Cancelling stops billing — it doesn't delete anything. Your data and export access stay available after you cancel. If you'd rather have your data permanently deleted, contact support and it'll be purged across every system; if you want a full copy of everything before you go, contact support for that too.

Can I upgrade or downgrade my plan?

Yes, any time, from your account settings.

Do you offer annual billing?

Yes — paying annually brings the Advanced plan down to about $16/mo, roughly 38% less than paying monthly.

Bank Connection

Why connect my bank instead of just uploading receipts?

Once it's connected, you never have to touch it again — transactions import automatically, get categorized by property using rules you set once, and show up in your books within minutes.

Is it safe to connect my bank account?

FourCasa connects through Plaid — the same technology most major banking and finance apps use. Access is read-only, so FourCasa can see transactions but never move money, and your login credentials are never stored.

What happens if my bank connection breaks or goes down temporarily?

Bank connections generally resync automatically once restored, pulling in whatever was missed while the connection was down.

Can I disconnect my bank at any time?

Yes, from account settings, with no waiting period. Historical data you've already synced stays in your account unless you delete it.

Casey — Your AI Bookkeeper

How does Casey turn my receipts and bank transactions into books?

Upload a receipt (or forward it by email) or connect your bank, and Casey extracts the vendor, amount, and category, applies your rules, and assigns it to the right property — usually within seconds for documents and minutes for bank transactions.

How accurate is Casey, and what happens when it's not sure?

Casey doesn't guess. Below 100% confidence on a categorization, a human expert reviews it before it ever hits your books — you get AI speed with human accuracy.

Who reviews the transactions Casey flags?

When Casey isn't confident how to categorize something, a person reviews it to keep your books accurate.

If Casey miscategorizes something, how do I fix it?

Edit, recategorize, or split a transaction between properties in about 10 seconds.

How does the anomaly detection work?

Casey watches your accounts continuously for things a spreadsheet wouldn't catch — a missing rent payment, a duplicate charge, or an unusual expense spike — and flags it against your normal pattern instead of waiting for you to notice.

Is my data ever used to train AI models?

No — your financial data is never used to train general-purpose AI models. Casey does use AI operationally on your data (matching transactions to documents, flagging anomalies) — that's the product doing its job, not training a model.

Who owns my financial data?

You do. FourCasa doesn't claim any rights over your financial records beyond what's needed to provide the service.

How is my data backed up, and can it be restored if something's deleted?

Backups run continuously at the infrastructure level, protecting against a whole-system failure. There's no separate recovery path for a single deleted record today — once something is deleted, it can't be brought back. Export anything you'd hate to lose before you delete a property, delete a transaction, or cancel your account.

Is my data encrypted, and who can see it?

Encrypted in transit and at rest. Internal access is restricted based on operational need.

Do you have SOC 2 or ISO 27001 certification?

Not currently.

Which third parties handle my financial data?

Several, across categories: your bank connection (Plaid), cloud infrastructure and AI processing (AWS), payments (Stripe), product analytics, email, property data enrichment, and bot protection. A full breakdown is available on request.

What happens if FourCasa shuts down?

The intent is to give customers advance notice and a real opportunity to export their historical records first.

What reports can I generate?
  • Cash Flow Report — income and expenses visualized down to the transaction.
  • Income Statement — profitability by category and property.
  • General Ledger — a full transaction list for audits.
  • Tax Report — Schedule E, Cash Flow, Income Statement, and General Ledger together for filing.
  • Debt Report — loan details, DSCR, and net worth over time.
  • Occupancy Report — lease activity and rental income trends.
  • Schedule of Real Estate Owned (SREO) — portfolio-level, side-by-side view.
What is DSCR, and how do you calculate it?

Debt Service Coverage Ratio measures whether a property's income covers its debt payments.

DSCR = Net Operating Income ÷ Total Debt Service

A property generating $120,000/year in net operating income against $100,000/year in loan payments has a DSCR of 1.20 — 20% more income than it needs to cover its debt. Below 1.0 is high risk, 1.0–1.25 is tight, 1.25–1.5 is healthy, and above 1.5 is very safe.
